This Privacy Policy explains how GreenClear (“we”, “us”, “our”) collects and uses your personal data when you contact us or use our rubbish cleaning / waste removal services in London and the M25 area.

2) Scope

This notice covers data processed when you browse our website, request a quote (form, phone, WhatsApp), make a booking, when we carry out a collection (including before/after photos), and our follow-up communications (receipts, Waste Transfer Notes, reviews).

3) Data we collect

  • Contact & booking details: name, phone number, email, pickup address/postcode, preferred slot, job notes.
  • Service details: descriptions/photos of items to remove, access notes, before/after photos for proof of work and disposal evidence.
  • Documents: Waste Transfer Notes (commercial loads), invoices/receipts.
  • Website data: IP address, device/browser info, pages viewed, cookie preferences (see §6).
  • Communications: messages you send (email, WhatsApp, calls) and our replies.
  • Payment metadata: amount, method, time (we do not store full card details on our servers).

4) Where we get your data

  • Directly from you via our website form, phone, email or WhatsApp.
  • From your device via cookies/analytics (see §6–7).
  • From third parties you instruct (e.g. letting agents, facility managers) to book on your behalf.

5) How & why we use your data (legal bases)

  • To provide quotes and perform the contract you request (UK GDPR Art. 6(1)(b)).
  • To comply with law (duty of care, accounting, record-keeping incl. Waste Transfer Notes) (Art. 6(1)(c)).
  • Our legitimate interests in running a safe, efficient service (scheduling, vehicle routing, proof photos, preventing non-payment) (Art. 6(1)(f)).
  • With your consent for optional things (e.g. marketing emails, posting anonymised before/after on our site/social). You can withdraw consent any time.

6) Cookies & similar tech

We use essential cookies to make the site work (security, load balancing, consent preferences) and, with your permission, analytics cookies to understand website usage and improve our services.

  • Strictly necessary: always on; do not store personal info.
  • Analytics (optional): measure visits, pages, referral sources; set only if you accept.

7) Analytics & messaging

  • Analytics tools: we may use a privacy-respecting analytics service (or Google Analytics) to collect aggregated usage stats. IPs may be truncated/anonymised where supported.
  • WhatsApp: if you message us, your data is processed by WhatsApp (Meta). Please avoid sending card data or other sensitive info over chat.
  • Email & calls: routine business communications; call logs may record caller ID/time/date.

8) Payments

Card payments are processed by our payment provider. We receive confirmation that payment succeeded, the amount and time. We do not store full card PAN/CVV on our systems.

9) Sharing & processors

We share data only as needed to run our service, or where the law requires. Typical recipients:

  • Hosting & IT: website hosting, email, backups, cloud storage.
  • Operational tools: scheduling/dispatch, maps, document generation (Waste Transfer Notes).
  • Payments: payment gateway and our bank.
  • Messaging: email provider and WhatsApp for Business.
  • Legal & compliance: law enforcement or regulators where required.

We have appropriate data processing agreements in place with our suppliers.

10) International transfers

Some providers may store/process data outside the UK. Where this occurs, we rely on appropriate safeguards (e.g. adequacy regulations, Standard Contractual Clauses, or UK IDTA) to protect your information.

11) How long we keep data

  • Quotes & routine messages: typically up to 12 months after last contact (unless a job proceeds).
  • Job records & invoices: typically 6 years for tax/accounting.
  • Waste Transfer Notes (commercial): kept for at least the minimum period required by law (currently at least 2 years).
  • Before/after photos: retained as proof of work and for dispute resolution; for marketing use only with consent or if fully anonymised.
  • Cookies/analytics: according to your consent and the tool’s retention policy.

12) Security

We use reasonable technical and organisational measures: access control, encryption in transit, principle of least privilege, and regular updates. No system is 100% secure; please avoid sending sensitive data via chat.

13) Your rights

Under UK data protection law you have the right to request: access, rectification, erasure, restriction, data portability, and to object to processing based on legitimate interests. Where we rely on consent, you can withdraw it at any time.
